# RTM Company Software: What You Need and What It Costs (2026)

RTM company software prices compared for 2026: Manage.Management, LevyBoard, Marklet, Brocade and Resident, plus the features an RTM company needs.

RTM company software costs between £0 and about £2,300 a year for a typical 20-flat block at 2026 published prices. Dedicated service charge tools for volunteer directors start at £15 a month, and fuller platforms charge either per unit or a percentage of service charge collected. Manage.Management, the UK block management platform for RTM and RMC directors, leaseholders and managing agents, is free for resident-led blocks of 4 or more flats on its Community plan and charges a 3% platform fee on collected service charge once a block self-manages its finances.

Once a Right to Manage (RTM) company takes over a building, its directors inherit every job the freeholder's agent used to do: budgets, service charge demands, Section 20 consultations, insurance, repairs, company filings and building safety records. Software will not do the thinking for you, but it decides how much of your evenings the job takes. This guide sets out what an RTM company actually needs, what the main UK tools publish as their prices, and how to choose.

## Key takeaways

- RTM company software in 2026 ranges from free plans to about £2,300 a year for a 20-flat block, based on vendors' published prices.
- Manage.Management charges a 3% platform fee on collected service charge for self-managed blocks, with no monthly software fee, and a free Community plan for blocks of 4 or more flats.
- Flat-fee tools such as LevyBoard (£15 to £25 a month) are cheapest for small blocks but focus mainly on the service charge ledger.
- Your software must produce service charge demands with the statutory summary of rights, support Section 20 consultation and keep reserve funds separate.
- From 1 November 2027, RTM companies must use prescribed demand forms, accounts and annual reports, so check every tool's plans for them.

## What does an RTM company legally have to manage?

An RTM company takes on the landlord's management functions under the lease, so it must run the service charge, consult on major works and keep proper company records. Your software should support each of these duties, not just store files.

In practice, the core duties are:

- **Service charge demands with the statutory summary of rights.** A demand that does not include the prescribed summary of rights and obligations can lawfully be withheld under section 21B of the Landlord and Tenant Act 1985.
- **Trust accounting.** Service charge money is held on statutory trust under section 42 of the Landlord and Tenant Act 1987, so funds must be kept separate and reserves should be identifiable. Our guide to [reserve funds](https://manage.management/blog/reserve-funds-sinking-funds-how-much-a-block-should-hold-and-who-decides) explains the rules.
- **Section 20 consultation.** Major works costing any leaseholder more than £250 need a formal consultation, with notices and timescales that are easy to get wrong.
- **Company governance.** Board meetings, AGMs, minutes and annual Companies House filings.
- **Building safety and records.** Fire risk assessments, insurance, maintenance logs and, in higher-risk buildings, the golden thread of building information.

From 1 November 2027, standard service charge demand forms, accounts and annual reports become mandatory for RTM companies under the Leasehold and Freehold Reform Act 2024, as covered in our post on the [confirmed leasehold reform timetable](https://manage.management/blog/leasehold-reform-timetable-confirmed-service-charge-insurance-and-legal-cost-changes-from-2027). Software chosen now should be able to produce them.

## What features should RTM company software have?

At minimum, it should handle service charge demands and payments, Section 20 consultation, documents and communication with leaseholders. Anything that only covers one of these will leave you joining tools together.

A practical checklist:

1. **Budgets and demands** with the summary of rights attached and per-flat apportionment from the lease.
2. **Payment tracking and arrears** with reminders and a clear ledger for each flat.
3. **Separate general and reserve funds**, with year-end figures your accountant can use.
4. **A Section 20 workflow** that tracks notices, observation periods and estimates.
5. **A document store** for the lease, insurance, fire risk assessments and certificates.
6. **Resident communication** with a record of what was sent and when.
7. **Repairs and issue tracking** so leaseholders can report problems with photos.
8. **Meetings and voting** for AGMs, director decisions and contractor choices.
9. **Leaseholder access** so owners can see their own account and the building's documents.
10. **Data export** so you can leave without losing your records.

## How much does RTM company software cost in 2026?

Published prices range from free plans to around £190 a month for a 20-flat block, depending on how much of the job the tool covers. The table below uses each vendor's own pricing page.

## What would a 20-flat RTM block actually pay?

For a 20-flat block collecting £2,000 per flat a year (£40,000 in total), annual software costs at published prices would be roughly:

| Tool and plan | Calculation | Approximate annual cost |
| --- | --- | --- |
| LevyBoard, 16 to 40 flats | £25 × 12 | £300 |
| Marklet Management | 20 × £2.49 × 12 = £597.60 (above the £490 minimum) | £598 |
| Resident, 50-unit band | £875 licence (+ £500 set-up in year one), ex VAT | £875 (£1,375 in year one) |
| Manage.Management Self-Managed | 3% × £40,000 | £1,200 |
| Brocade Professional | (£99 + 20 × £4.50) × 12 | £2,268 |

Two things change the comparison. Percentage pricing rises and falls with your service charge, so a block with a £1,000 annual charge per flat would pay half as much on Manage.Management, while a flat fee stays the same. And the cheapest tools cover less: some focus on the ledger and Section 20, while fuller platforms add meetings, voting, issue tracking, building safety and resident communication that you would otherwise run in email and spreadsheets.

## Do we need software at all, or will spreadsheets do?

A very small block with engaged directors can run on spreadsheets, a shared drive and email, at no software cost. The risk grows with the number of flats, the number of directors and the complexity of the lease.

Spreadsheets struggle with three things: producing compliant demands every time, keeping a clear audit trail when directors change, and giving leaseholders visibility without sharing everything. If your board turns over regularly, or leaseholders often ask "where has the money gone?", software usually pays for itself in time and in fewer disputes.

## How do we choose the right RTM software?

Start with your hardest job, not the longest feature list. If service charge accounting is the pain, prioritise the ledger. If decisions and communication are the pain, prioritise meetings, voting and messaging.

Five questions to ask any provider:

1. Does it produce service charge demands with the statutory summary of rights?
2. Will it support the new prescribed forms and accounts from November 2027?
3. Can leaseholders see their own account and the building's documents?
4. How does pricing change if the service charge or the number of flats changes?
5. Can we export all our data if we leave?

## How Manage.Management helps RTM companies

Manage.Management covers the whole RTM journey in one platform. The RTM toolkit checks eligibility, prepares the company and generates the notice of invitation and claim notice, with Royal Mail delivery from £1.12 a letter. After acquisition, the building moves onto the Community plan for free issue tracking, announcements, voting and document storage, and onto Self-Managed when directors are ready to run budgets, demands, reserve funds and Section 20 consultations. Directors can find guides and templates on our [RTM resources page](https://manage.management/rtm-resources), and the [Manage.Management pricing page](https://manage.management/pricing) includes a calculator showing the Self-Managed fee for your block size and service charge.

## Frequently asked questions

### Is there free software for RTM companies?

Yes. Manage.Management's Community plan is free for resident-led blocks of four or more flats once three neighbours join, covering issue tracking, announcements, voting and a 1 GB document vault, but not service charge finances. Marklet also publishes a free plan. Free plans usually exclude full service charge demands and accounts, so check what is included before relying on one.

### How much should a small RTM company budget for software?

At published 2026 prices, a 20-flat RTM block can expect to pay between about £300 and £2,300 a year for software that handles service charges. The figure depends on whether the tool charges a flat fee, a per-unit rate or a percentage of service charge collected, and on how many functions you need beyond the ledger.

### Can an RTM company charge software costs to the service charge?

Usually, if the lease allows management costs to be recovered through the service charge. Software used to manage the building is normally a management cost, but it must be reasonable under section 19 of the Landlord and Tenant Act 1985. Check your lease, record the decision in board minutes and show the cost clearly in the budget.

### Do RTM companies still need an accountant if they use software?

Usually, yes. Software keeps records and produces demands, but many leases require accounts to be certified, and from November 2027 the new statutory accounts regime will require a written statement from a qualified accountant. Good software reduces the accountant's work and fee by giving them clean, complete records at year-end.

### What is the difference between RTM software and managing agent software?

RTM software is designed for volunteer directors running one building, with simple workflows, leaseholder visibility and governance tools such as voting and meetings. Managing agent software is designed for professional teams running many buildings, with deeper accounting, bank integrations and portfolio reporting, often priced by unit bands and with set-up fees.

## Choose the tool that matches the job

The right RTM company software is the one your directors will actually use, that keeps leaseholders informed and that will meet the 2027 rules. Compare published prices on the same basis, test the hardest workflow first, and make sure you can take your data with you. Good tools make volunteer directors look professional, and that is what leaseholders voted for when they took over.
